Spoke with the customer this morning. Offered an apology and explained our waiting system to her. We complete the work orders of customers sitting in the lounge waiting area first. I understand the customers frustration with the car not being completed on time. The work order was placed in a non waiter folder. This work is to be completed by the end of the day. We gave the customer a ride home so that she would not have to wait at the dealership. She was told that it normally takes about 3 hours to complete. We were under the assumption that we would return to pick her up once the work was complete. We had not called to share that the work was complete. When the customer came back in, we were just starting the process of our non waiter work orders. She didn't want to take a loaner car which was offered. In a phone call to the customer this morning, an offer was made to cover the labor expense for the inconvenience. The process of our appointments here at the dealership is that waiting customers are completed first. If it is needed by a certain time, then it will be completed by that time. Our shuttle customers know that the work is usually completed by the end of the day so a pick up can be made to return them to the dealership. This was the first time this customer made an appointment at the dealership and was not properly explained our process at write up. We dropped the ball and have learned a valuable lesson to make sure to ask our shuttle customers if the car needs to be completed by a certain time, and to tell them that we will call once the work is completed.
